Purpose |
The Pending Client Detail Selection screen shows all of the clients' demographic and immunization information for each client, or for the group of pending clients, that were selected on the Client Merge Selection screen.

Details to Merge |
This section allows the user to select individual pieces of information to keep from each client, which will be used to create a new "merged" client. If more than two clients are displayed, then there will be a check box next to each client id. Only checked clients will be considered in the merge process. If one of the clients is an incoming client that has not yet been saved to the database, then the word PENDING will be displayed instead of the client id.
Client
Every value that is stored for each client will be displayed side-by-side with radio buttons. The user can select one value from any client for each field. Only fields that are populated by at least one client are required.
Examples: If one of three clients has a county associated with them, then the county is a required field. If no clients have a middle name stored, then middle name is NOT a required field.
Priority Groups
The Priority Group section will only be displayed if a client has been screened for a pandemic response event or preparedness exercise and a priority group has been assigned. For each event/exercise displayed, assigned priority groups will be displayed with an option button for each client. One priority group is required to be selected for each event/exercise in order to perform a merge. Selecting an empty priority group for an event is permissible to remove the priority group from the event.
DCH Client Fields
The DCH Client Fields section will only be displayed if DCH (Department of Community Health) has uploaded data for that client. For each record displaying DCH Client Fields, a single radio button will select all DCH Fields for that client. If only one client record displays DCH Client Fields, these fields must be selected for a merge. If more than one client record displays the DCH Client Fields, the one with the most recent Eligibility End Date should be selected for the merge.
Lead Screening Fields
The Lead Screening Fields section will only be displayed if lead screening data has been uploaded for that client. For each record displaying Lead Screening Fields, a single radio button will select all Lead Screening Fields for that client. If only one client record displays Lead Screening Fields, these fields must be selected for a merge. If more than one client record displays the Lead Screening Fields, the one with the most recent Data Exchange Date should be selected for the merge.
Eligibilities
All Eligibilities are displayed with a check box for each client. At least one eligibility is required to be checked in order to perform a merge. Checking more than one eligibility is permissible as long as no duplicates are checked.
Insurers
All Insurers are displayed with a check box for each client. Any number of insurers may be chosen as long as they are not duplicates.
Organization Fields
The Organization Fields section will display all organizations that have a relationship with each client record. Each organization will be displayed on a separate row with the name of the organization appearing in the far left column. For each Organization Fields grouping, a single radio button will select all data in that grouping. One grouping of Organization Fields must be selected for each organization on the client records to be included in the merge. If more than one Organization Fields grouping displays for the client, the one with the most recent Last Updated date should be selected for the merge.
Responsible People
All Responsible People are displayed with a check box for each client. The responsible person information is all grouped as a whole. When checking a responsible person, the relationship, name, address and telephone number will all be saved. When a responsible person is not checked, all of those values for that person will be discarded.
Comments
All Comments are displayed with a check box in rows sorted by the comment's applies to date. Any number of comments may be checked. Duplicate comments (even if they are on different dates) are not allowed. If several of the clients have the same comment, please save the one with the most recent applies to date.
Immunizations
All Immunizations are displayed with a check box in rows sorted by the vaccination date. The information displayed for each immunization includes the following (if available):
- Vaccine Group(s)
- Trade Name or Trade Name / Lot # / Funding Source
- Site Name of where the immunization was administered
- Reaction
- DCH Information
Immunizations that are from a Site's inventory are shown in blue. These immunizations must be kept during the merge process so that the organization's inventory is not changed.
Duplicate immunizations can not be checked when merging clients. An immunization is considered a duplicate if it has the same vaccine group as another immunization on the same date. Immunizations that affect a site's inventory are ignored when comparing duplicate immunizations. However, you cannot keep a non-inventory immunization if it matches an inventory immunization.
If a reaction is recorded in one record included in the merge, that reaction data will be retained and applied to any immunizations given on that date even if the shot(s) with the reaction cannot be selected for the merge.
Immunizations with DCH Data should be retained, if possible, during a merge.
