Purpose |
The Client Merge Selection screen is used to choose which clients are to appear on the Pending Client Detail Selection screen.
View by Client Id |
Clients that may be duplicates but have not yet been identified as possible duplicates from data exchange can be entered in the 'Client Id #' text boxes. Client Id 1 and Client Id 2 are required to use this functionality. Client Id 3 is optional. The Client Id is the unique number given to every client in the registry. These fields will also accept the ids from the incoming clients from data exchange that have not yet been added to the registry.
After entering at least two unique client ids, the button will display the next screen with both (all) of the clients' demographic and immunization information for further review, merging, or unpending.
Possible Duplicates Filter |
Data Exchange identifies possible duplicates in the registry when an incoming client matches to more than one existing client. When this occurs, the existing clients
are grouped together for further review. This section of the screen is for finding those groups of clients that have been identified as possible duplicates.
Since data exchange is so highly used, the following filters make it easier to review the matching groups.
When a user is entering a new client through the user interface, the client might match an existing client. When this happens, the user is presented with a screen listing the client(s) that it considers might be a match. If the user determines that their new client does not match any of these, they can override the system match and create a new client. The new client that was created by the system override, along with the clients that it had matched to, will be listed as "Possible Duplicates" with the word override appearing in the Job Id field.
The filters include:
Organization
The organization pull-down contains all the organizations that currently have pending clients identified by data-exchange. By selecting a particular organization and then pressing the button, the screen will reload with all of the pending clients from that organization.
Date
The Date text-box allows the list of pending clients to be limited to those that were created by a data exchange job on a particular day. By entering a date in the MM/DD/YYYY format and pressing the button, the screen will reload with all of the pending clients for that particular day. This filter can be used by itself, or in combination with the Organization filter. When used by itself, this filter could return client groups from multiple organizations that ran a data-exchange job on that date.
Job Id
The Job Id text-box limits the list of pending clients to be those that were found in a particular data exchange job. By entering a numeric job id and pressing the button, the screen will reload with all of the pending clients for that data exhchange job. This filter is the most specific so it can not be used in conjunction with the Organization or Date filters. If either of those filters have values in them, they will be overridden and cleared by the job id filter.
A Job Id of 0, or the word override can also be entered into the Job Id text-box. This will show the list of new clients, along with any matches that were found, that were created through the user interface by a user overriding a system match.
Possible Duplicate Clients |
This section contains information about the possible duplicate clients that have been identified by data exchange. The specifics as to which clients are currently being displayed are determined by the data exchange filters listed above.

The job id of the data exchange job that found these possible duplicate clients, or override for system overrides through the user interface. This field is displayed once for each group of pending clients. |
Exchange Date |
The date of the data exchange job that found these possible duplicate clients. This field is displayed once for each group of pending clients. |
Client Id |
The Client Id of a possible duplicate client. This field is filled for each existing client that might be a duplicate. If the incoming client was valid, it too may be displayed here with an asterisk (*) denoting that it has not yet been saved to the registry. |
Last Name |
The last name of the client is displayed to make it easier to find which clients need to be merged. |
First Name |
The first name of the client is displayed to make it easier to find which clients need to be merged. |
Middle |
The middle name of the client is displayed to make it easier to find which clients need to be merged. |
Birth Date |
The birth date of the client is displayed to make it easier to find which clients need to be merged. |

Pressing this button will display the next screen with all of the clients in this groups demographic and immunization information for further review, merging, or unpending. If an incoming client (client id with an *) is part of the group, it will check for any new clients that may also be matched to the incoming. If any are found, they too will be displayed on the next screen. |
